- Renter must be 21 years of age or older. Drivers must also be 21 years of age or older. Minnesota DNR requires anyone born after December 31, 1976, to complete the ATV certification before going out on our trails. Up North Outfitters is not liable for any tickets, etc., that a person may receive if they do not have this certification. - Renter must have a major credit card and driver’s license. Both cards must have the renter’s name on them.
- The renter must be present at the time of pick-up, no exceptions made. All passengers MUST BE PRESENT at the time of picking up to sign the waiver.
- Credit Card Security Deposit Authorizations are processed upon drop-off of the rental and will be released when the vehicle is determined to be without damage, within 14 business days.
- To secure your reservation, please use the online booking system to submit all information and full payment. Reservations are on a first-come basis, which means that your reservation is only secured once payment has been received by Up North Outfitters.
- Sometimes things happen and we may need to substitute a different machine of equal quality for your reserved time. Up North Outfitters reserves the right to substitute a machine should one become unavailable for any reason. You will receive notification if this occurs during your reservation time.
- UP North Outfitters provides every machine going out with a full tank of 87 octane fuel. As part of your rental agreement, you agree to return the machine with a full tank of 87 octane fuel as well. Failure to do so will result in a refueling charge of $6.50 per gallon that will be deducted from your security deposit.
- Helmets and goggles are also provided as part of your rental agreement. Each machine is eligible for enough helmets for seats in the machines. Helmets are required by ALL occupants of the machines. If helmets are damaged, the renter will be responsible for a replacement cost of $200.00. If goggles are lost or damaged, the renter will be responsible for the replacement cost of $40.
- Reservations can be made online at {INSERNT NEW ELITE LINK} If, for some reason, you prefer to make payment arrangements another way, please contact a Rental Specialist at Up North Outfitters.
- Full payment is due upon making the reservation, regardless of departure date. Please see the cancellation policy below if needed. Booking Fees, Cleaning Fees and tax are not included in the rental price, these will be due upon making the reservation.
- A security deposit, ranging from $1,500 to $3,000 will be required at the time of drop-off after the reservation has been completed. This must be in the form of cash or a Credit Card Security Deposit. Debit cards are not accepted for damage deposits. Things that affect this deposit include, but are not limited to, refueling fees ($6.50/gal), late fee (10-59 minutes is $75, 60+ minutes is $100/hour), or any damages to the machine outside of general wear items (Polaris Adventures standard is any damage over the size of a credit card.
- The remaining balance of the security deposit will be refunded within 14-business days from the return date. You will be made aware of any fees that are to be secured from the security deposit before they are taken.
- While we encourage customers to maintain their reservations, we understand that sometimes life happens beyond our control. To help accommodate your situation, we will allow a one-time courtesy rebooking (does not cover cancellations). Reservation arrival or departure dates may not be changed withing 72 hours of the already scheduled time frame.
- Cancellations made prior to 1 week of reservation date will be charged a onetime NON-REFUNDABLE administration fee of $100.00 (plus tax).
- No-shows will not be eligible for any sort of refund.
- Contact us by phone and speak to a Rental Specialist regarding all cancellation requests. Rental Reservations will still be considered active regardless of rain or shine. Please check out our Sensible Weather Guarantee for weather insurance so there be inclement weather during your reservation time.
- We reserve the right to cancel, if needed, due to circumstances outside of our control. These circumstances include but are not limited to, trail conditions or damaged rental machines. Reservations will be fully refunded if this occurs.
- Up North Outfitters is required to secure a security deposit of $3,000 per machine to cover the Damage Protection Plan. For an additional $20 per day, at the time of making your rental reservation or before your reservation starts, you can select the Adventure Assure Protection Plan that drops your required deposit down to $1,500 max out of pocket. Damage Protection, regardless of which protection plan, is not insurance and only covers accidental damage to the rental unit.
- If damage is determined to be caused by a direct or indirect violation of the Rental Agreement, the renter will be held responsible and will be required to reimburse the Dealership for all loss of or damage to the vehicle. The protection plan, whether it be the standard plan or the Premium Protection Plan, determines the maximum out of pocket cost the customer will be held responsible for should accidental damage occur. The customer will not be charged above their maximum out of pocket cost for any incident related costs, including, without limitation, repairs, parts, labor, vehicle recovery, and administrative fees.
- Our Full Day Rental departure time starts at 8:30am. The return times will be 4:30pm. Your pick-up times are scheduled and are very important to keep. Please arrive at a minimum of 15 minutes before your reservation starts in order to complete any necessary paperwork, getting your helmets and going over safety of your machine.
- Half day Rentals will start at 8:30am and go until 12:30pm OR 12:30pm and running until 4-4:30pm.
- Generally, there are no pickup or drop-off services available on Sundays. Special accommodation requests can be made, but there is no guarantee your accommodation can be met.
- Reminder that these machines cannot be trailered. By doing so, you will be in breach of the signed rental agreement with Polaris Adventures. If damage occurs due to an accident involving it being on a personal trailer, Polaris Adventures has the right to charge you in full for the extent of damage or for the total machine cost.
- There will be a minimum late fee of $75 for 10 minutes to 59 minutes or $100/hour after one hour, that will apply to all late returns, unless discussed with an Up North Outfitters Rental Specialist. This fee will be deducted from your security deposit.
- Recovery due to customer error or damage will be an additional charge upwards to $135/hour. If the machine breaks down due to uncontrollable factors such as malfunctions, there will be no charge.
- To access the trails, there are some county and township roads that need to be traveled. Your rental specialist with go over these routes with you. While traveling on these roads, you are required to travel on the right shoulder or the extreme right-hand side of the road and follow the road laws for the road you are traveling. Up North Outfitters is not liable for any tickets, etc., that a person may receive if they break the law.
- All rentals go out with a full tank of 87 octane fuel and are expected to be returned full as well. There are several gas stations within 10 miles of Up North Outfitters in several directions (Emmaville, Park Rapids, and Nevis). If a machine is returned with partial fuel, it will be filled up at Up North Outfitters at the cost of $6.50/gallon. This will be deducted from the security deposit.
- The machine will be sent out clean and free of mud/debris/trash. There will be a 6.5% Excessive cleaning fee that is automatically added to your rental at the time of checkout. This covers our rental specialists’ time, getting these machines clean and prepared for the next renter.
- There will be a minimum late fee of $75 for 10 minutes to 59 minutes or $100/hour after one hour, that will apply to all late returns, unless discussed with an Up North Outfitters Rental Specialist. This fee will be deducted from your security deposit.
- Helmets and Goggles are provided – helmets being required – for all riders on all Adventure machines. If helmets are damaged, the renter will be responsible for a replacement cost of $200.00. If goggles are lost or damaged, the renter will be responsible for the replacement cost of $40.
- Guests are recommended to wear close-toe shoes, long shirts and pants for a safe, comfortable ride. Bring extra layers like a lightweight jacket or sweatshirt in case of weather changes.
- Please be prepared to get dirty/muddy, depending on current trail conditions. Also be prepared for variable trail conditions (mud, dust, rain, rocks, etc.).
- A neck gaiter or bandana is also recommended for dust to wear beneath your helmet. These are available for purchase from Up North Power & Sports.
- Feel free to bring along a backpack with water, snacks, bug spray, and sunscreen. Up North Outfitters will have a few coolers to rent on a first come basis, as well as a few Bluetooth speakers available for tunes.
- Vehicle: Use of a 2025 Polaris RZR XP1000 Premium (2-seat or 4-seat models available).
- Helmets: Properly fitting helmets are provided and REQUIRED. Each vehicle is eligible for the appropriate number of helmets to match the number of seats.
- Safety Goggles: Properly fitting goggles are provided and highly recommended. Each vehicle is eligible for the appropriate number of goggles to match the number of seats.
- Navigation Assistance: Our machines are equipped with in-dash Polaris Ride Command units. We also have paper trail maps from local ATV clubs.
- Up North Outfitters rentals are available to all driver and rider skill levels. We offer helpful insight into which machine might be a better fit for your level of experience. We can also provide helpful information on which trail systems might be a bit more challenging for those who are thrill-seeking and others for those who are happy with just cruising and taking in nature. Once out of the trails, we are only a phone call away to help guide you and answer questions along the way.
- At Up North Outfitters, we pride ourselves on having the newest models of machines that work well with our local terrain. We currently offer either 2-person capacity or 4-person capacity Model year 25 Polaris Razor XP 1000 Premiums.
- We have 4-hour (half day) slots available from 08:30am to 12:30pm, or 12:30pm to 04:30pm. Our 8-hour (full day) rental slot is from 08:30am to 04:30pm. Overnight rentals are considered from 04:30pm to 08:30am the following morning. Weekend rates are from Saturday 08:30 am to Monday 08:30 am.
- We accept all forms of major credit cards, along with bank debit cards. Online bookings can be made with Apple Pay, Google Pay and Samsung Pay. However, when it comes to Damage Waiver Plans, these are required to be made with cash or a credit card, that can support up to a $3000 card hold. This hold can be split up over multiple cards if needed.
- You will be prompted to provide your full name, phone number and email address. Payment is due in full for your reservation at the time of booking.
- The Damage Waiver Deposit starts at a 7-day $3000 card hold at time of the return of the machine. For a small fee of $20.00per day per machine, that max out-of-pocket expense can be dropped to $1500. This requires cash or a CREDIT CARD in the renter’s name.

- Each of our machines requires a mandatory coverage plan, when means that the maximum out of pocket expense for our customers would be $3000. This is captured as a 7 day hold on a credit card. For a small fee of $20.00 per day per machine, that out-of-pocket expense can be lowered to $1500. These machines are washed and looked over between each rental to ensure that any damage is found without the hinderance of mud. This process does not happen immediately but is guaranteed to happen within 24 hours. You will be contacted regarding any additional fees, etc., that need to be collected before your card is charged. Scratches/damage larger than a credit card are considered damaged above and beyond general wear. Please see the list of possible additional fees for other charges that may occur. This requires cash or a CREDIT CARD in the renter’s name.
- First and foremost, please be honest and forthcoming with information if damage occurs. For the safety of future guests and for clarity purposes, it is best to let us know at the time of drop off. Your machine will be brought back and washed, where it will be gone through by a Certified Polaris Technician to ensure the extent of the damage, and a Repair Order Quote will be drawn up. You will receive an email with extra pictures and the quote for your documentation. You will then receive a phone call from an Up North Outfitters representative to go over the damage quote with you. At this time, your card will be captured for the amount which you owe for the repairs.
- Immediately ensure that the machine is turned off. Call 911 immediately if medical help is needed. Then please call us, as we will come to assist with up righting the machine and bringing it back to the shop for a full assessment if needed. Up North Outfitters will automatically keep your full deposit if the frame has been damaged. Additional charges could occur due to lost rental usage of the machine up to 14 days, possibly additional fees for recovery of the vehicle, DNR fines, or other potential fines/fees for violation of law.
- You must be 21 years of age or older to rent our machines as well as drive them. ABSOLUTELY NO ONE UNDER THE AGE OF 18 ARE ALLOWED TO DRIVE THESE MACHINES. If you are found in violation of this rule, automatic termination of the remainder of your reservation will be implemented.
- Absolutely!! Here at Up North Outfitters, we love to see families riding together and feel it is a great family activity. Riders must be able to grab the safety handlebar in front of them. We strongly encourage riders to be able to place their feet on the floor and have their back against the seat to ensure the safest ride. Car seats are absolutely not allowed under any circumstances. If found in violation of this rule, automatic termination of the remainder of your reservation will be implemented.
- Your friend needs to be present at the time of pick up to sign a waiver. And if they are 21 years of age or older and have a valid driver’s license, they are allowed to drive these machines. Please keep in mind that you are 100% liable for any damage that occurs during your reservation, whether it is you, a family member or a friend that causes the damage.
- While many of us here at Up North Outfitters are animal lovers, we strongly discourage any animal from coming along with you as the trails and their conditions can vary and make riding difficult with animals. We understand that there may need to be some exceptions made when it comes to service animals and will address this on a case-by-case basis.
- Please plan to arrive 15-20 minutes before your departure time so that you can complete your waiver(s), get fitted for your helmet and go over any maps/safety orientation. Please note that EVERYONE WHO WILL BE RIDING IN THE MACHINE WILL NEED TO BE PRESENT TO SIGN THE WAIVER. Children under the age of 18 are not allowed to sign for themselves, but instead, a parent or guardian will need to sign for them. We will provide instruction on how to operate the machines in a safe manner, how to operate the Ride Command, as well as basic trail laws in Minnesota.
- Please keep in mind that weather in Northern MN can change quickly. It can be sunny when you take off from the store and turn to rain showers in the afternoon. We strongly recommend dressing in layers so that you can be comfortable in any climate. Be prepared to get dusty, dirty, muddy and wet, especially if it rained the previous day. Closed toe shoes are recommended for footwear. We advise against sandals as they can slip while driving and get unpleasant with sand and mud. You are more than welcome to bring a fresh set of clothing to change into at our facility after your ride is over.
- *DRIVER’S LICENSE* please bring your driver’s license with you. If you do not have it with you, we cannot rent to you.
- *Food and Water* our machines have room for a cooler for water and food. We recommend having plenty of water with you, as it can be dry on the trails at times. There are many great places to stop and have a picnic lunch.
- *Sunglasses* are recommended for those riders who have sensitivity to the sun. We do provide clear view goggles as an option to help reduce dust getting into your eyes.
- *Sunscreen* is always a good idea.
- *Dust masks* are not required but are highly recommended to help lower dust intake.

- Trailering of these machines is not allowed. If you choose to put one of our machines on your trailer, you are 100% liable for the replacement cost of the machine if something happens to it while you are transporting it. Polaris Adventures and Up North Outfitters are not responsible for any damage that occurs while the machine is on your personal trailer. Under specific circumstances, Up North Outfitters may trailer a machine to a customer, but this is made on a case-by-case basis and approved by Up North Outfitters management. There would be a delivery/pick up fee applicable for such arrangements.
- Rental reservations are rain or shine. Please make sure that you are checking the forecast for the day of your rental reservation. If you do not show up for your rental reservation because it is raining and you have not communicated with an Up North Outfitters Representative, you will be charged the full rental price. We are open to discussing a reservation date change if we can accommodate without interfering with other reservations. See our cancellation policy for other cancellation questions. - YOU ARE REQUIRED TO FOLLOW ALL ROAD/TRAIL LAWS – if you get a citation for breaking one of these laws, you are 100% responsible for that.
- We do provide paper maps from a few of our local ATV clubs. Currently, we do not have preplanned routes designated on the Ride Command app but can mark a few “must-see” spots on your paper maps.

- In terms of mileage limits, ride to your heart’s content! We do not have a limitation on the miles that can be put on these machines. In terms of distance restrictions – there are some restrictions in place for this. Please keep in mind that you are in jeopardy of breaching your contract with Polaris Adventures and Up North Outfitters if you trailer these machines. If you choose to take the machines to another location greater than 50 miles away, you must disclose with Up North Outfitters the address of where the machine will be located.
- Yes, Polaris Adventures requires you to wear a helmet and by completing your waiver, you are agreeing to wear a helmet. Minnesota State Law requires anyone under the age of 18 to always wear a helmet while in the machine. Helmets and goggles are provided for each seat of the machine you are renting. We require every participant to be present so that proper fitting helmets can be provided. Please do not drop your helmet as all it takes is one drop to make a helmet not safe.
- The MN DNR does require anyone born after July 1, 1987, and who is 16 years or older, to complete the ATV safety online course. It is the responsibility of the renter(s) to ensure that they are compliant with this law. Up North Outfitters will not ask you to present your certificate. However, if you are on the trail and happen to encounter a law enforcement officer and are asked to present it, you are required by law to do so. If any fine(s) result from it, you are 100% responsible for those. We encourage you to visit www.ATVcourse.com (and pay all necessary fees online) to meet certification requirements.
- With all trails, conditions can vary day to day, depending on the weather. Please be prepared for all the elements (wind, rain, sun, heat) and be prepared to get dusty or muddy (sometimes both)! Generally, after a good rain, there are plenty of mud puddles to play in.
- Paul Bunyan State Forest: This hosts a variety of class 2 trails, from forest roads to switchbacks, and tight technical terrain. There is a fair portion of trails that have rocks and washouts. Thorpe Lookout is a must-see spot for anyone who has not explored the area, along with the many lakes to stop by and have lunch.
- Two-Inlets State Forest: This area hosts a lot of forest roads with some class 2 trails. This trail system offers smoother riding and a few more accommodations as far as eating and fuel.
- Huntersville State Forest: This area offers more forest roads and only a few class 2 trails. The soil is sandier than others in the area, so it does not hold moisture like surrounding areas.
- Re-fuel charge: These machines are sent out with a full tank of 87 Octane fuel. Please return with a full tank. Otherwise, you will be charged $6.50 per gallon of fuel needed to refuel your machine upon return.
- Late return fee: If you are late returning your machine, you will be charged $75 for 10-59 minutes and an $100 per hour for anything after 60+ minutes.
- Lost Key Replacement: If you lose the key to the machine while out on the trail, you will be charged $30 for the key replacement plus an hourly fee of $30 to bring you the replacement key.
- Belt Replacement: If you are found at fault for damaging the main drive belt during your rental reservation, you will be charged $199.99 + tax and labor time of $135/hr. to replace the belt.
- Rearview Mirror Replacement: If you are found at fault for damaging or losing the rearview mirror during your rental reservation, you will be charged $129.99 + tax and labor time of $135/hr. to replace the mirror.
- Half Windshield Replacement: If you are found at fault for damaging the half windshield of your rental reservation, you will be charged $229.99 + tax and labor time of $135/hr. to replace the windshield.
- Winch Rope Replacement: If you are found at fault of damaging the winch rope during your rental reservation, you will be charged $139.99 + tax and labor time of $135/hr. to replace the rope.
- Flat Tire/Bead Pop* If you are found at fault for damaging the wheel/tire of your rental reservation, you will be charged for a replacement + tax and labor time of $135/hr. to fix or replace the wheel/tire.
- Helmet Replacement* If you are found at fault for damaging/losing a helmet during your rental reservation, you will be charged $200 + tax to replace the helmet.
- Trail Recovery* Our machines are not intended for “off-trail” riding (i.e. sand/gravel pits, wetlands, non-designated paths/trails) and the Renter will be fully and financially responsible for any recovery and/or damage because of this type of riding. Off-trail recovery rates are charged at $135 per hour during business hours, while after-hour Recovery rates go up to $270 per hour.
